Why It Matters

Manual invoice entry doesn't scale, and errors compound

Typing supplier names, VAT numbers, line items and totals into a spreadsheet by hand is slow and error-prone — a single mistyped VAT figure can throw off your bookkeeping or your quarterly VAT return. It's the kind of task that eats an afternoon a week for a small business with no dedicated finance team.

InvoiceExtract reads the invoice — PDF or photo of a paper copy — and pulls out the structured data automatically, so entry becomes a review step instead of a data-entry job.

Common Questions

Before you upload

What file types does it accept?
PDF invoices, and photos of paper invoices. For photos, good lighting and a flat, uncluttered background give the most reliable extraction.
What fields does it extract?
Supplier name and details, invoice number and date, individual line items, VAT rate and amount, and the total due — the fields you'd normally key in by hand.
How accurate is the extraction?
Very good on clean, typed invoices; less reliable on handwritten or heavily damaged ones. Always glance over the extracted totals against the original before relying on them for your accounts.
Does it handle invoices in different languages?
Yes — it's built for the mix of languages and invoice formats you'll encounter across EU suppliers, not just English-language invoices.
Is my invoice data stored?
No. The invoice is sent to our AI provider to extract the data, then discarded — nothing is retained on our servers. See the note below for the full legal basis.
Can I import the results into my accounting software?
The extracted data is structured and exportable, so you can copy it into your bookkeeping tool or spreadsheet without retyping the original invoice.
